Speed-to-Lead SOP: Stop Lighting Your Marketing Budget on Fire.

This is a Small Business SOP — a free, do-this-today standard operating procedure pulled from a real operator on the Unscripted Small Business podcast. This one comes from Cameron Tope of Emerson Property Management, who spends real money on marketing and learned the hard way where most of it leaks out: the phone nobody answers.

The play is simple, it costs almost nothing, and it will make every marketing dollar you already spend work harder. Run it this week.

Cameron Tope: stop lighting your marketing money on fire

The Play — One Line
Assign someone to answer and close inbound leads FAST — before you spend another dollar on marketing.

Why this matters

In Cameron’s words: “You spend $20,000 a month on marketing, but nobody answers the phone… you’re just lighting money on fire.” His very first hire wasn’t a marketer — it was a person to answer the phone. The marketer came second. Speed-to-lead is the cheapest growth lever most small businesses never pull. It is also only half the job: Bone Dry Roofing’s Matt Tyner warns that a promise you cannot keep is garbage — answering fast only counts if the delivery behind it holds.

The 6 Steps

1
Time your own response.
After hours, call your business line and fill out your own web form. Clock how long a real reply actually takes. That number is your baseline — and it’s usually worse than you think.
2
Assign ONE owner to inbound — before scaling marketing.
Name one person whose only job is answering and closing incoming leads. Cameron’s first hire was a phone-answerer; the marketer came second.
3
Set a response SLA.
Define the maximum minutes to first human response (aim for ≤5). Protect that person’s slack so they can always pick up — the fire-department principle: ready, not maxed out.
4
Add an instant auto-reply to every form.
“Got it — we’ll call within the hour.” Silence is what loses the lead. An instant acknowledgment buys you time and trust.
5
Close the loop.
Build a simple follow-up sequence — missed-call text-back, callback within SLA — so no lead ever just sits in an inbox unanswered.
6
Fix the gap BEFORE spending on ads or SEO.
More leads poured into a leaky bucket only wastes money faster. Seal the response gap first, then scale the marketing.

The numbers behind the play

An Ignitvio study called ~1,100 businesses after hours. The response gap is staggering — and it’s your opening:

28%
called back after hours
68%
of web forms unanswered <24h
64%
never replied at all
68 min
median response time
